Travel & Fleet Management Specialist 

 

Function/Region: Head Office HR

(Sub)department: People Operations

Location: Amsterdam, Hybrid

Fulltime: 40 hours a week

Job purpose: Execution of the policies and rules and for the assigned specialism. Advise and execute improvements and procedures in Travel & Fleet policies.

Reports to: Manager People Operations

What will you do as a Travel & Fleet Management Specialist?

 

1. Responsibility (Travel): Implementing and embedding travel management policies for serviced Opco’s and coordinating with various stakeholders to ensure alignment between Opco’s. Taking care of communication between stakeholders and internal travellers, aligning on the strategy and adjusting systems, processes and payment methods. Coordinator for audits regarding Travel & expenses. Point of contact for travel agencies and suppliers. Guiding the People Operations Specialist with the public transport & credit card administration and stakeholder management with the relevant suppliers.

2. Responsibility (Fleet): Aligning on the strategy, implementing and embedding Fleet Management policies, coordinate and execute Fleet Management process for serviced Opco’s. Take full ownership of the governance and end-to-end Fleet Management process development.

3. Collaborate closely with the Contract Manager (Procurement) and advice on the lease policies towards the Business Process Owner Lease. Contract administration and intermediary between Lease company and internal stakeholders. Manage fleet requests, communications, correct content and escalations. Guide People Operations on Fleet Management ticket handling.

4. Responsibility (Mobility): Implementing and embedding Netherlands specific Mobility serviced Opco’s and coordinating with various stakeholders to ensure alignment between Opco’s. Taking care of communication between stakeholders and internal travellers, aligning on the strategy and adjusting systems, processes and payment methods.

5. Responsibility (Legislation Travel & Fleet): Implementing and embedding new legislation regarding mobility including fleet. Coordinating with various stakeholders to ensure alignment between Opco’s. Taking care of communication between stakeholders and internal colleagues, aligning on the strategy, rewards (secondary benefits) and adjusting systems.

6. Responsibility (nature of work): Continuously improving and digitizing the fleet, travel and mobility processes. Execute relevant compliancy checks and translate the results in new improvements on specialist areas. Initiate, steer and/or participate in multiple projects within/contribution of assigned specialism.

  • Education: University
  • Work experience: 6+ years
  • Required work experience in field of expertise: e.g. demonstrated experience in fleet/travel management and/or global mobility management. Systems and reporting and experience in a large multinational (preferably FMCG) or consultancy firm.
  • Other fields of expertise: Finance and procurement processes in the lease process. Interest in and drive for developments regarding new sustainable ways of travelling. Drive for continuous improvement
  • Functional skills: independent, decision making, flexible, client awareness, convincing skills, conflict handling, Lean Green Belt.
  • Languages: Dutch and English
  • Key Leadership expectations: shape, connect, develop, deliver.
  • Communication skills: Manages partnerships and relationships with variety of stakeholders both internal and external (with conflicting interests) on operational and tactical. Communicates through understanding, influencing and/or serving others and requires more than facts to win arguments. Interaction with others requires social skills and the ability to understand and influence. Represent Travel and Fleet within the assigned entities and Heineken to external stakeholders.
  • Other skills: Project management, building collaborative relationships, change management influencing skills, continuous improvement, keep up with rapidly changing travel and fleet environment.
