We are looking for an enthusiastic, energetic, proactive Personal Assistant. You find it important to strive for delivering quality in your work. You are a proactive and organisation sensitive organizer who knows how to distinguish main issues from side issues and how to set the right priorities. The team

As a management assistant you support the Global Legal Head of Retail. The Global Legal Head of Retail is responsible for functional steering of the Retail countries and for product steering of the Retail countries, Market Leaders and Germany. Next to organising calls, meetings and country visits (including preparing presentation packs) you have a responsibility in keeping the global legal retail intranet pages up to date, in filing and organising our record retention system (I-Manage) and issuing bi-monthly newsletters.

Another important task is to organise and minute the frequent ad hoc high sensitive meetings "Procedure of Irregularities" a committee that handles certain types of misconducts. Next to that you are responsible for organising the recurring Global Panel relationship meetings.

You are part of the Legal Department Bank/Business Management & Support team, and you work closely with the other Personal Assistants in the HQ team, you replace each other when needed.

Roles and responsibilities

The challenge in this role is to manage the day-to-day schedule with great energy and effectiveness to ensure the Global Legal Head of Retail can focus on the most important and relevant tasks, whilst delegating effectively all other tasks. You schedule and coordinate the (digital) meetings, including preparation of agendas, distribution of meeting documents. Operating a range of administrative activities including review and publishing of the Legal Retail Buzz (newsletter). Make all travel and accommodation arrangements.

How to succeed

  • You have similar PA (5+ year) work experience in an international environment

  • Bachelor's degree in office management or secretarial education

  • Excellent organizational and time-management skills

  • Strong attention to detail and ability to prioritize tasks

  • Fluent MS Office skills (Outlook, Excel, Word and PowerPoint, SharePoint) and MS Teams

  • Good organizational skills and structured way of working; exceptional follow through, focus and attention to detail

  • Good problem-solving skills, active listening, continuous learning

  • A 'can do' mentality, proactive, resourceful and willing to go the extra mile

  • Excellent interpersonal and networking skills, combined with high cultural sensitivity in order to work in a highly diverse environment

  • High level of confidentiality, working with sensitive topics and senior management of ING

  • Strong written and verbal communication skills in English

  • Ability to work independently and as part of a team
